Codul Global de Conduita

Codul Global de Conduita si politicile conexe au fost concepute la nivelul Koç Group si Arcelik, din care face parte si Arctic, pentru a implementa standardele etice ridicate in cadrul de lucru corporativ si pentru a ne asigura ca modul in care ne desfasuram activitatea este aliniat la valorile noastre si la legile si reglementarile aplicabile in tarile in care Grupul isi desfasoara activitatea.

Canale de raportare

Vrem sa ne asiguram ca va puteti exprima cu incredere pentru a raporta informatii obtinute intr-un context profesional, referitoare la incalcari ale Codului de Conduita, legilor sau reglementarilor aplicabile.

Pentru a raporta incalcari ale legii avertizorul de integritate poate alege oricare dintre urmatoarele canale de raportare:

  • direct Departamentului de Conformitate, care poate fi contactat la adresa: compliance@arctic.ro SAU
  • folosind mecanismul de raportare ETHICS HOTLINE implementat la nivel de Grup

Ethics Hotline este gestionat de un partener extern, independent si impartial, sub protectia confidentialitatii. Pentru informatii suplimentare provind politicile de confidentialitate ale partenerului, accesati aici.

Canalele de raportare sunt destinate utilizarii tuturor societatilor Koç Group (puteti viziona societatile din grup aici).

Am pregatit mai jos pentru dvs. cateva detalii pentru a usura procesul de raportare prin intermediul Ethics Hotline:

 

  • Puteti alege sa raportati sub protectia anonimatului. Va asiguram ca sesizarile formulate in mod anonim vor fi luate in considerare si analizate in mod corect si adecvat, in masura in care contin suficiente informatii referitoare la incalcarea raportata, care sa permita analizarea si solutionarea acesteia.

 

  • Aveti posibilitatea sa selectati limba in care doriti sa aiba loc comunicarea. 

 

  • Am luat masurile necesare pentru a ne asigura ca, in orice moment, cel putin un mijloc de raportare este accesibil 24/7. Daca linia telefonica nu functioneaza, puteti raporta prin intermediul website. De asemenea, puteti indica in raport ca linia dvs. telefonica nu functioneaza.

 

  • Puteti solicita partenerului extern sa raportati prin intalnire fata in fata, caz in care veti fi contactat de Responsabilul cu gestionarea raportarilor desemnat pentru Arctic.

 

  • Atunci cand raportati prin intermediul Ethics Hotline vi se cere sa furnizati informatii minime și nu vom incerca sa va dezvaluim identitatea daca alegeti sa ramaneti anonim:

 

  • Selectarea tarii este necesara pentru a ne asigura ca respectam legile privind confidentialitatea datelor din tara și nu are in niciun fel scopul de a identifica raportarile individuale.
  • Selectarea companiei afiliata Koç Group cu care are legatura incidentul, permite partenerului extern sa informeze in mod corespunzator responsabilul cu gestinarea si documentarea raportarilor, desemnat in fiecare companie. Pentru a raporta incalcari de care ati aflat in cadrul unor activitati profesionale desfasurate in Arctic, va rugam sa selectati mai intai compania afiliata « Arcelik ».

 

  • Prin intermediul website aveti posibilitatea sa va conectati la un portal de urmarire a cazului, unde veti vedea: intrebarile formulate, raspunsurile primite, orice comentarii sau intrebari trimise de companie;

 

  • Ethics Hotline nu este destinat reclamatiilor care privesc produsele sau serviciile companiei. In acest scop, va rugam sa accesati unul din canalele noastre de comunicare, disponibile la sectiunea Contact (aici).

 

  • De asemenea, Ethics Hotline nu reprezinta un Serviciu de Urgenta, astfel ca nu trebuie utilizat acest canal pentru a raporta evenimente care prezinta o amenintare imediata pentru viata sau pentru proprietatea privata.

 

Resposabilul cu gestionarea raportarilor privind incalcarile legilor este Departamentul de Conformitate, care poate fi contactat la adresa: compliance@arctic.ro.

Incurajam raportarea privind incalcari ale legii, prin intermediul canalelor interne de raportare existente. Puteti alege, insa, intre canalul intern de raportare si canalul extern de raportare, luand in considerare aspecte precum: existenta riscului de represalii ori imposibilitatea remedierii incalcarii in mod eficace prin intermediul canalelor interne. Conform legii, au rolul de canal extern de raportare: Agentia Nationala de Integritate (care primește raportari de la avertizori in interes public prin calalele mentionate pe site-ul www.integritate.eu); autoritatile si institutiile publice care primesc si solutioneaza raportari in domeniul lor de competenta; alte autoritati si institutii publice carora ANI le transmite raportarile spre solutionare.

Mecanismul de raportare Ethics Hotline indeplinește toate cerintele de securitate și este intretinut tehnic de un operator independent. Din motive de securitate, inainte de a face raportarea prin intermediul website vi se cere sa furnizati o parola, care nu poate fi recuperata sau resetata. Vom prelucra datele cu caracter personal care nu sunt necesare pentru solutionarea, documentarea si arhivarea raportarii primite, cu respectarea cerintelor privind confidentialitatea. Dupa expirarea perioadei de arhivare de 5 ani, vom sterge/anonimiza irevocabil datele dvs. Pentru informatii generale si pentru mai multe detalii referitoare la prelucrarea datelor cu caracter personal si la drepturile specifice in acest context, oferim, pastram si actualizam informatii in cadrul Sectiunii Protectia datelor personale din acest site.

Reporting channels

We want to ensure that you can speak up with confidence to report information obtained in a professional context, relating to breaches of the Code of Conduct, applicable laws or regulations.

To report breaches of the law the whistleblower can choose any of the following reporting channels:

  • directly to the Compliance Department, which can be contacted at: compliance@arctic.ro OR: compliance@arctic.ro OR
  • using the ETHICS HOTLINE reporting mechanism implemented at Group level:

The reporting channels are intended for use by all Koç Group companies (you can view the group companies here).

We have prepared below some details for you to facilitate the reporting process via the Ethics Hotline:

 

  • You can choose to report anonymously. We assure you that anonymously submitted reports will be considered and analysed fairly and appropriately, as long as they contain sufficient information about the reported violation to allow its analysis and resolution.

 

  • You may select the language in which you wish the communication to take place. 

 

  • We have taken steps to ensure that at least one means of reporting is accessible 24/7. If the telephone line is not working, you can report via the website. You can also indicate in the report that your telephone line is not working.

 

  • You may request your external partner to report by face-to-face meeting, in which case you will be contacted by the designated Arctic Reporting Manager.

 

  • When reporting through the Ethics Hotline you are required to provide minimal information and we will not attempt to reveal your identity if you choose to remain anonymous:

 

  • Country selection is necessary to ensure that we comply with country data privacy laws and is in no way intended to identify individual reports.
  • The selection of the Koç Group affiliated company to which the incident is related allows the external partner to properly inform the designated reporting manager and documentation officer in each company. In order to report breaches that you have become aware of in the course of business activities carried out in Arctic, please select the affiliate company « Arcelik »first.

 

  • Through the website you can log in to a case tracking portal, where you will see: questions asked, answers received, any comments or questions sent by the company;

 

  • The Ethics Hotline is not intended for complaints about the company's products or services. For this purpose, please access one of our communication channels, available in the Contact section (here).

 

  • Also, the Ethics Hotline is not an Emergency Service, so this channel should not be used to report events that present an immediate threat to life or private property.

 

The Compliance Departmentis responsible for managing reports of violations of laws and can be contacted at: compliance@arctic.ro.

We encourage reporting of violations of law through existing internal reporting channels. You may, however, choose between the internal reporting channel and the external reporting channel, taking into consideration issues such as the risk of retaliation or the inability to effectively remedy the violation through internal channels. According to the law, the following have the role of external reporting channel: the National Integrity Agency (which receives reports from whistleblowers in the public interest through the channels mentioned on the website www.integritate.eu); the public authorities and institutions that receive and solve reports in their field of competence; other public authorities and institutions to which ANI sends reports for solution.

The Ethics Hotline reporting mechanism meets all security requirements and is technically maintained by an independent operator. For security reasons, before reporting via the website you are asked to provide a password, which cannot be retrieved or reset. We will process personal data that is not necessary for the resolution, documentation and archiving of the report received, subject to the requirements of confidentiality. After the expiry of the 5-year archiving period, we will irrevocably delete/anonymise your data.
